Finance Manager
Who we're looking for
FORM Garden Design is seeking a part-time experienced Finance Manager to join our award-winning practice in the Baltimore and Mid-Atlantic region.
What you will be doing
Our Finance Manager will play a critical role in supporting the financial health, operational stability, and long-term growth of the studio. We are seeking a highly organized, detail-oriented, and trustworthy professional who thrives in a small, collaborative environment and is comfortable managing multiple financial systems and recurring workflows. This role requires a strong command of accounting fundamentals, payroll administration, invoicing, and financial reporting, as well as the ability to build systems that improve clarity, efficiency, and cash flow visibility.
The Finance Manager will work closely with studio leadership to ensure timely and accurate payroll, billing, payments, and reporting, while maintaining compliance with insurance, tax, and regulatory requirements. The position requires balancing day-to-day transactional work with higher-level financial oversight, including budget tracking, project health reporting, and staff utilization analysis. The ideal candidate brings sound judgment, discretion, and a proactive mindset, and is comfortable working both independently and collaboratively. This role will be on-site a minimum of 1 day per week, with additional remote work as needed.
Basic Requirements
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (or equivalent professional experience)
5+ years of experience in accounting, bookkeeping, or financial management, preferably in a professional services or small business environment
Demonstrated experience managing payroll, accounts payable, and accounts receivable
Proficiency with QuickBooks (required); experience with Paychex and BigTime preferred
Experience preparing financial reports, including Profit & Loss statements and budget vs. actual analysis
Strong organizational skills with exceptional attention to detail and accuracy
Ability to manage confidential financial and personnel information with discretion
Comfortable managing multiple recurring deadlines and workflows simultaneously
Ability to work independently while collaborating closely with leadership
Availability to work on-site a minimum of 1 per week, with additional remote work as needed.
U.S. residency or citizenship
What you will be doing
Managing payroll, including calculating payroll, paid time off, and personal professional development time and budgets, entering payroll in Paychex, and preparing employee total compensation summaries
Maintaining accurate bookkeeping in QuickBooks, including entering invoices, reviewing and categorizing credit card transactions, and filing expense and cost-of-goods receipts
Reconciling cost-of-goods receipts against credit card transactions to ensure accurate job costing
Preparing monthly and quarterly Profit & Loss reports
Running monthly budget vs. actual income and expense reports
Producing monthly project health reports by Project Manager and staff utilization reports
Drafting design, sales, and retainer invoices, and inputting cost-of-goods accurately
Managing accounts payable, including developing and maintaining a payment calendar to visualize cash flow
Paying vendors, credit cards, insurance premiums, taxes, and loans in a timely manner;
Setting up automatic payments and billing efficiencies wherever possible
Establishing and managing lines of credit and billing terms with partners
Managing accounts receivable, including depositing checks, entering payments into BigTime, and sending reminder emails for past-due invoices
Overseeing annual insurance renewals and census reporting, including health insurance and business insurance covering general liability, professional liability, workers’ compensation, auto, and ERISA-related requirements
